Case Study
A 2027 trade-show pipeline built in 2026 — venue honestly TBA, pipeline live
The Australian Aviation Expo is OTGM's own event property, launching late 2027 in Brisbane. Instead of a hype-first launch, it was built pipeline-first: gated prospectus with real pricing, exhibitor and sponsor lead capture wired into GoHighLevel with automatic opportunity creation, and an email sequence frozen by default until the moment is right. The CRM machinery on display is the same machinery OTGM builds for clients.

The build
The site we built for Australian Aviation Expo.
The live homepage at australianaviationexpo.com.au, captured from production — every training pathway, pricing detail, and booking step built to turn quiet research into real enquiries.

The challenge
What Australian Aviation Expo needed to solve
Most event launches lead with venue announcements and hype, then scramble for exhibitors. The challenge: prove OTGM's B2B pipeline discipline by building a trade-show pipeline more than a year out, with the same honesty standards we sell — the venue is listed as TBA because it genuinely is, and the email sequence is frozen by a feature flag until there is something worth sending.
Our approach
How the engagement was delivered
Pipeline-first architecture
Built the lead machinery before the hype: registration and sponsor forms tag every enquiry by source in GoHighLevel, sponsor enquiries automatically open GHL opportunities, and three lead categories (prospectus, exhibitor, sponsor) route to different follow-up tracks.
Gated prospectus pack
A real sponsorship prospectus with transparent pricing structure, venue concept map, and a printable PDF — gated behind a form that feeds the CRM. Exhibitors evaluating a 2027 commitment get real numbers, not a brochure.
Honesty as positioning
The venue is TBA across the entire site because it is. The email sequence ships disabled by default (a feature flag gates every send). No launch-date pressure, no manufactured urgency — the long-cycle B2B buyers this event serves verify everything anyway.
Timeline
2026 Q2: site, prospectus pack, GHL lead routing live. 2026 Q3: email freeze system, venue-TBA honesty pass. Late 2027: event launch.
Results
What the work produced
3
CRM lead categories routing automatically
Prospectus downloads, exhibitor enquiries, and sponsor enquiries each route to their own GHL follow-up track, with sponsor enquiries opening opportunities.
Default-off
Email sequence until launch-readiness
The automated email sequence is gated behind a feature flag and ships disabled. Every send requires a deliberate, logged decision to enable.
TBA
Venue status, published honestly
The venue is listed as TBA across the site, FAQ, schema, and email templates — because announcing a venue before contracts would be the kind of marketing dishonesty this property exists to disprove.
2027
Launch horizon
A trade-show pipeline built more than a year out — the long-cycle B2B sales discipline aviation suppliers recognise immediately.
